The Credit Manager is responsible for maintaining customer accounts, which includes issuing waivers, submitting credits, processing payments and filing liens when they are required. They also have to coordinate payments through title companies and insure the necessary paperwork is processed for tax exempt projects. They must issue waivers for prepay customers and make daily deposits through bank website. It is also the credit manager’s duty to make sure the company doesn’t lose its lien rights and to contact general contractors and homeowners to warn them of an upcoming lien that has to be filed due to payment terms not being met.
Review the Aged Trial Balance for past due accounts weekly. Reconcile accounts if needed to assist with collection of past due amounts. Contact customers regarding their accounts by phone, email, fax or letter daily. This may include researching, printing and sending copies of unpaid invoices as necessary. Following up and monitoring the accounts after making contact with the customer weekly.
Contact customers to negotiate payment arrangements, plans or promissory notes and work with title companies to ensure payment daily. Maintain accurate notes/details in customer accounts daily. Review credit limits and release orders per such daily.
Obtain job information sheets from customers for orders >$20k daily.
File Mechanics lien as necessary to protect lien rights.
Prepare and sign lien waivers for customers in exchange for payment; file copy in Docuware with detail daily.
To properly issue waivers that are accurate and adhere to the rules provided by every title company daily.
Maintain customer accounts by issuing credits, providing delivery tickets, giving updated statements and invoices, requesting tax exempt information to keep the account up to date, reconcile, research, resolve “on account” payments & deductions daily.
Release orders for prepay using established parameters daily.
Prepare adjustments for short payments or sales tax and submit to AR for processing weekly.
Process account customer credit card payments via Payeezy and submit with detail to AR for posting daily.
Process daily AR deposit and submit with detail to AR for posting daily.
Issue waivers for prepay customers and meet the needs of account customers handled by other credit managers as necessary.
Other duties, as assigned.
Ability to set deadlines for payments and prioritize activities.
Strong computer skills – Word, Excel, etc.
Must be able to develop and maintain spreadsheets for cash and credit card totals.
Data entry skills for waivers, tax exemptions, Account receivables, and liens filed.
Excellent written and verbal communication skills.
Ability to manage relationships both internally and externally.
Strong audit background, problem solving and customer service skills.
Must be able to communicate in a friendly but strong manner with customers who have delinquent accounts or payments. Must be precise with language for waivers and property liens.
